Prompt: count customer complaint themes without losing any

Label each comment with every theme it raises, quote the evidence, and get two honest totals: complaining customers and complaint mentions. They are not the same number.

Works with: ChatGPT, Claude, Copilot, Gemini

The task

Turn a batch of customer comments, in English and French, into theme counts you can trace back to the exact words.

Prompt
Use only these synthetic comments. Label complaint themes using DELIVERY
(late arrival), PACKAGING (damaged packaging) and BILLING (unexpected fee).
One comment may receive multiple themes. Positive comments get no complaint
theme. Count each theme at most once per comment. Quote the exact evidence
for every label; do not infer causes. Return a row per comment, then theme
counts with comment IDs, total comments, comments with any complaint, and
total theme mentions. Explain why the last two totals can differ.
F1: Delivery was late and the box arrived damaged.
F2: La facture comporte des frais inattendus.
F3: Delivery was late again.
F4: Everything arrived on time and in good condition.

How to use it

  1. Run it with the four synthetic comments (one is in French).
  2. Replace the themes with your own and paste a batch of real comments without names or order numbers.
  3. Spot-check a few labels against their quotes before you share the counts.

What you get

One row per comment with its themes and quotes, the count per theme with comment IDs, and three totals: comments, comments with a complaint, and theme mentions.

Example answer we got
(tables flattened)
F1: DELIVERY ("Delivery was late"), PACKAGING ("the box arrived damaged")
F2: BILLING ("frais inattendus")
F3: DELIVERY ("Delivery was late again")
F4: none (positive)

DELIVERY 2 (F1, F3) · PACKAGING 1 (F1) · BILLING 1 (F2)
Total comments 4; comments with any complaint 3 (F1, F2, F3); total theme mentions 4 (2 + 1 + 1).

F1 has two themes (DELIVERY and PACKAGING). It adds 1 to the first total and 2 to the second, which is why there are 4 mentions but only 3 complaining comments.
