Prompt: pull due dates from CRM notes without guessing

Turn free-text follow-up notes into a clean action list. Clear dates become ISO dates; “next Friday” and 10/11/2026 are left blank and flagged instead of guessed.

Works with: ChatGPT, Claude, Copilot, Gemini

The task

Turn follow-up notes into one row per action with a due date, without the AI guessing what an ambiguous date means.

Prompt
Extract one row per record with columns id, action, due_date, needs_clarification.
Preserve IDs exactly. Use ISO dates only when the note contains an unambiguous
calendar date. Do not interpret slash-formatted dates or relative weekdays. Leave
due_date blank and explain the ambiguity in needs_clarification.
Synthetic records:
C01: Send the catalogue on 2026-10-15.
C02: Call next Friday.
C03: Renew on 10/11/2026.

How to use it

  1. Run it with the three synthetic records to check the behaviour.
  2. Paste your own notes (a short export, IDs included) in place of the synthetic records.
  3. Settle every row with a needs_clarification note before the dates go into your CRM or calendar.

What you get

One row per note. Only unambiguous dates are filled in (as YYYY-MM-DD); relative days and slash dates stay blank with the reason.

Example answer we got
| id | action | due_date | needs_clarification |
|---|---|---|---|
| C01 | Send the catalogue | 2026-10-15 | |
| C02 | Call | | "Next Friday" is a relative weekday. The actual date depends on when the note was written, and "next" could mean the coming Friday or the one after. Please give the exact date. |
| C03 | Renew | | "10/11/2026" uses a slash format, so it could be October 11, 2026 (MM/DD) or November 10, 2026 (DD/MM). Please confirm which. |
