Prompt: draft your one-page AI policy

Give an AI assistant your answers and get a one-page AI policy back, with “to be decided” wherever you haven't decided yet and a list of the questions you still need to answer.

Works with: ChatGPT, Claude, Copilot, Gemini

The task

Turn your decisions about AI use (tools, data, review, owner) into a first draft of a one-page policy, without the AI inventing rules for you.

Prompt
You're helping a small business write its first AI policy.
Write ONE page in plain English, 350 words maximum, for: [YOUR BUSINESS: size, trade, city].
Use exactly these six headings:
1. Tools
2. Data: green, yellow, red
3. Human review
4. Decisions about people
5. Telling clients
6. Owner and mistakes

Our answers:
- Approved tools: [YOUR TOOLS AND ACCOUNT TYPES]
- Red data: [WHAT NEVER GOES INTO AN AI TOOL]
- Review: [WHO CHECKS WHAT BEFORE IT GOES OUT]
- Owner: [NAME, ROLE]. Review every [FREQUENCY].

Rules for you: don't add rules we didn't give you. If something important is missing, list it as a question at the end. No legal advice.

How to use it

  1. Fill in the brackets with what you have actually decided. Leave the rest out on purpose.
  2. Paste the prompt into your approved AI assistant and run it.
  3. Answer the questions it lists at the end: they are your real policy work. Then compare with the one-page template.

What you get

A one-page draft under your six headings, with “to be decided” where you gave no answer, and a numbered list of open questions.

Example answer we got
Questions to answer before this is final

1. Green and yellow: What counts as green, what counts as yellow, and what rule applies to each?
2. Red: Is red data never to be entered into any AI tool, even the approved ones?
3. Decisions about people: Can AI play any part in hiring, staff evaluations or decisions about clients? If so, who makes the final call?
4. Telling clients: Do we tell clients we use AI? If yes, where: engagement letter, website, or only when asked?
5. Mistakes: If red data goes into a tool, or a document that wasn't checked reaches a client, who must be told, how fast, and who tells the client?
